The best AI onboarding tools in 2026

The tools on the market split into three categories, and most comparisons blur them together as if they solved the same problem. They don't.

HR logistics

Rippling and BambooHR automate the administrative side: ordering equipment, setting up accounts, handling contracts and benefits. Good at what they do, but they never touch the question of what a new hire actually needs to learn about how your company works.

Searchable knowledge bases

Guru is the clearest example. An AI-powered knowledge base where new hires can search and get answers directly in Slack or Teams instead of digging through a document. A good solution, but it assumes the answers already exist somewhere in the system. Guru organizes and makes things searchable. It doesn't create the content.

Course generation

Trainual, iSpring, and the Swedish player Learnster turn existing material into structured courses with quizzes and tracking. They're good at exactly that, packaging. Same assumption as the knowledge bases: the material has to already exist.

The gap none of them cover

All three categories solve a real problem, and all three assume the same thing: that the content is already written down. That's rarely true for what actually makes a company different. The judgment and history, why you make exceptions, what's already been tried and dropped, lives in the head of whoever built the company, not in a document any of these tools can organize.

That's a different problem, earlier in the chain, and it's where we work. Not in competition with Guru or Trainual, a step before either has anything to organize or package.

Which problem do you actually have

If your problem is finding already-written answers faster, a knowledge base is the right solution. If the problem is packaging existing material into structured training, a course tool is the right one. If the problem is that the most important things were never written down to begin with, none of these tools solve that, no matter how good their AI search is.
